Some Factors to Keep in Mind When Choosing Time Tracking Software
Cost reduction – Keeping track of time can be a costly business, which is ironic since the main reason to keep track of time in business is to keep costs down. Time tracking software is designed to minimise the expense of recording the hours worked by employees. There are many different products on the market. Some are designed for quite particular sizes and niches of businesses while others are designed to fit many different business types. Even if you are buying time tracking software that is designed for a specific business set up there are still a number of factors that should be kept in mind.
The first issue to consider is the size of your business. There are time tracking software packages designed to be used by freelance contractors and self-employed people. Obviously a program for individual operators isn’t going to have the same functionality as software designed for a huge corporation with thousands of employees.
Still, within that spectrum there are still considered choices that need to be made. A small to medium sized company might benefit from adopting expensive workforce management software with a lot of different functions they may never use. There is also the upheaval that can come with the implementation of a new system, time taken to install the software on computers, transferring information from previous systems and bringing staff up to date. A lightweight system that can be implemented without too much trouble might be best for a small company of twenty or so employees.
Something that is often not considered is how much work does the system defer back to employees from HR and other management staff. If the time tracking software can allow staff to do small tasks such as clocking on, looking up information regarding leave or disciplinary measures and request time off this means HR staff doesn’t have to do it. Depending on the size of your organisation this could equate to the entire time of a HR staff member, allowing that staff member to focus on more important tasks or saving the company from having to hire that staff at all.
The user interface of the time tracking software is another important consideration that is often overlooked. If employees are spending time out of productive activity to log in to time attendance software for whatever reason you don’t want them spending a long time trawling through grey indistinct menus trying to find the program or folder they are looking for.
A brightly coloured workforce management software user interface with clear, intuitive icons and labelling systems can result in considerable time and as a result cost savings. When employees can find what they are looking for through an efficient and easy to navigate user interface they can get back to work all the sooner.
Something else you should ask about time tracking software is what kind of integration does it provide for? Does the software stand alone or can it be made to work with peripheral devices. Time tracking software is designed to record the work periods of staff. But if that time tracking software can be easily defrauded it can become redundant. Where the software can be integrated with biometric scanners it can be used to prevent work fraud practices such as buddy punching.
Mobile integration is a further functionality that you should look for in time tracking software. Where employees can log in from mobile platforms and clock in from remote locations, that allows for greater flexibility in the workforce which in turn allows for greater flexibility of the business.
